QR code checklists for your staff
Paper checklists on a clipboard get skipped, ticked in a rush at the end of a shift, or lost behind the counter. Usually you only find out when something has gone wrong.
With taskhando, every checklist gets its own QR code. Put it up where the work happens. Staff scan it with their phone camera, tick off the tasks and submit, and you see the result in the app.
How it works
- Create a checklist in the app, or start from one of our free templates and edit the tasks to fit your business.
- Download or print its QR code and stick it where the work happens: behind the counter, in the kitchen, by the back door.
- Staff scan it with their phone camera. The checklist opens in the browser, so they don't install an app or create an account.
- They tick off each task and submit. Tasks you mark as required must be ticked before the checklist can be sent.
- You see the submission in the app, including any optional tasks that were skipped.
Why a QR code works better than a clipboard
- Every submission is saved with the time it was sent, so you're not relying on a date scribbled at the bottom of a sheet.
- Change a task in the app and the QR code on the wall opens the new version straight away. Nothing to reprint.
- No sheets to collect, file or lose, and no coffee stains.
- You can check what's been done from anywhere, not only when you're on site.
Know who did the work
Staff can add their name when they submit. When you need to be sure, turn on staff PINs: each person gets their own 4-digit PIN, so every submission is tied to the person who did it.
Where QR checklists work well
- Cafés and coffee shops: opening, closing and coffee machine cleaning.
- Restaurants: front of house opening, kitchen cleaning and the end-of-night close.
- Cleaning teams: a QR code at each site, so you can see when each clean was submitted.
- Retail stores: opening, closing and cashing up.
Good to know
- Staff need a phone with a camera and a data or Wi-Fi connection to submit.
- A submitted checklist tells you the tasks were ticked, not how well they were done. Spot checks still matter.
Questions
Do my staff need to download an app?
No. Staff scan the QR code with their phone camera and the checklist opens in the browser. Only you, the owner, use the taskhando app.
Can I use one of your free templates?
Yes. Print any template as it is, or add its tasks to a checklist in the app and edit them to suit your business.
Can I change a checklist after the QR code is printed?
Yes. The QR code always opens the latest version, so edits in the app show up the next time someone scans it.
What does it cost?
taskhando is free for 30 days, and you don't need a card to start. After that, you can subscribe in the app.
