Terms of Service
Last updated 23 October 2026
1. Introduction and Acceptance of Terms
Welcome to taskhando (the "Service"). These Terms of Service ("Terms") are a legally binding agreement between you ("you" or "your") and Taskhando ("Taskhando," "we," "us," or "our") governing your access to and use of the Service, including the taskhando mobile application, the website at taskhando.app, and the checklist pages reached by scanning a taskhando QR code.
By downloading, installing, accessing or using the Service, you acknowledge that you have read, understood and agree to be bound by these Terms. If you do not agree, you must not access or use the Service.
We may update these Terms from time to time. If we make a material change, we will provide reasonable notice through the app, by email, or by updating the "Last updated" date above. Your continued use of the Service after changes take effect constitutes your acceptance of the updated Terms.
Your use of the Service is also subject to our Privacy Policy, which is incorporated into these Terms by reference.
2. Eligibility and Business Use
The Service is a tool for businesses. By creating an account, you represent and warrant that:
- you are at least 18 years old and able to form a legally binding contract under applicable law;
- you are using the Service for business purposes; and
- if you use the Service on behalf of a business or other organisation, you have the authority to bind it to these Terms, in which case "you" includes that organisation.
Staff who complete checklists through a QR code do so at the direction of the business that set them up, and do not need an account. The business is responsible for its staff's use of the Service (see Section 6).
3. The Service
taskhando lets businesses create checklists, share them through QR codes, and keep a record of when they were completed and by whom. Features, plan limits and content may change, be added or be removed as the Service is updated over time.
We may change, suspend or discontinue any part of the Service. Where a change materially reduces what a paid subscription includes, we will try to give reasonable notice in advance.
3.1 Smart Fill (AI Features)
Smart Fill drafts a checklist from a description you type, using an artificial-intelligence service provided by a third party. By using Smart Fill, you acknowledge and agree that:
- drafts are generated automatically and may be inaccurate, incomplete or unsuitable for your business;
- a draft is only a suggestion: you must review it before saving, and you are responsible for every checklist you save and use;
- drafts are not professional advice, including on health and safety, food safety, hygiene or any legal or regulatory requirement;
- you must not include personal or sensitive information in a description. We send your description and business name to our artificial-intelligence provider to create the draft, as described in our Privacy Policy; and
- Smart Fill depends on a third-party provider and may be limited, changed or unavailable at any time. The number of Smart Fills included with each plan is shown in the app (see Section 4.4).
4. Free Trial and Subscriptions
4.1 Free Trial
New accounts may be offered a free trial, which starts when you create your account. The length of the trial and its limits are shown in the app. The free trial is available once per account. Creating additional accounts to obtain further trials is not permitted.
When the trial ends without a subscription, your account becomes read-only: you can still sign in and view your data, but you cannot make changes, and your QR codes show that the checklist is paused. Your data is kept, and subscribing restores full access.
4.2 Subscriptions
Paid subscriptions are purchased through the app store you downloaded the app from and are subject to that store's terms, including its billing, renewal, cancellation and refund policies. Prices are shown in the app at the time of purchase and may vary by region.
Subscriptions renew automatically at the end of each billing period unless cancelled. You can cancel at any time in your app store's subscription settings; you keep access until the end of the period you have paid for. Deleting your taskhando account does not cancel a subscription.
We may change subscription prices or what each plan includes. Price changes for existing subscribers take effect in line with the rules of the relevant app store, which generally include advance notice.
We may offer promotional prices for a limited time. A promotional price applies only to the period shown with the offer, after which the regular price applies, in line with the rules of the relevant app store.
4.3 Refunds
Except as required by applicable law or the refund policies of the relevant app store, payments are non-refundable, including for partially used billing periods. Refund requests are handled by the app store that processed the payment.
4.4 Plan Limits
Each plan includes limits, such as the number of checklists, tasks, checklist submissions and Smart Fills, as shown in the app. If you reach a limit, some actions may be unavailable until the limit resets or you change plan. We may apply reasonable measures to prevent abuse of these limits.
5. Your Account
When creating and maintaining your account, you agree to:
- provide accurate, current and complete information;
- keep your sign-in account secure and accept responsibility for all activity under your account;
- not share your account with, or transfer it to, any other person;
- keep staff PINs confidential and give each PIN only to the staff member it belongs to; and
- notify us promptly at support@taskhando.app if you believe your account has been compromised.
We may suspend or terminate your account as described in Section 15.
6. Your Business, Your Staff and Your Data
6.1 Your Content
You keep ownership of the content you add to the Service, including your checklists, tasks and staff names, your Smart Fill descriptions, and the checklist records created by your staff ("Your Content"). You grant us a limited licence to host, store, process and display Your Content, and to have it processed by our service providers (including artificial-intelligence providers for features you use), only as needed to provide and improve the Service.
6.2 Your Responsibilities for Staff
Because you decide how the Service is used in your business, you are responsible for:
- having a lawful basis to collect your staff's names and checklist records, and informing your staff how their data is used, as required by applicable law;
- how you use checklist records, including in employment decisions;
- your staff's use of the Service on your behalf; and
- responding to your staff's requests about their data, with our help where needed.
We process staff data on your behalf and in line with your instructions, as described in our Privacy Policy.
6.3 Content You Must Not Add
Please do not add sensitive personal information to checklists, task names, staff names or Smart Fill descriptions (such as government identification numbers, financial account details or health information). The Service is not designed to store it.
7. Acceptable Use
Subject to your compliance with these Terms, we grant you a limited, non-exclusive, revocable, non-transferable licence to access and use the Service for your internal business purposes. You agree not to:
- use the Service in violation of any applicable law, regulation or third-party right;
- use the Service to monitor people unlawfully or without the notice the law requires;
- copy, modify, distribute, sell or create derivative works based on the Service, except as expressly permitted;
- reverse engineer, decompile, disassemble or attempt to uncover the source code of any part of the Service, except to the extent applicable law expressly permits;
- interfere with, disrupt or attempt to gain unauthorised access to the Service, its servers or connected systems;
- use robots, scrapers or other automated means to access the Service, submit checklists or interact with its features, other than through the app and checklist pages as intended;
- circumvent or attempt to circumvent plan limits, rate limits, trial restrictions or security measures;
- submit false checklist records, or encourage others to do so;
- upload or transmit any virus, malware or other malicious code;
- resell, sublicense or commercially exploit the Service other than for your own business, without our prior written permission; or
- authorise, encourage or enable any person to do any of the foregoing.
If we reasonably believe you have done any of the above, we may take action including removing content, restricting features, or suspending or terminating your account.
8. Records Are Not a Guarantee
taskhando records what your staff submit. It helps you see what has been reported as done, but it does not verify that the work was actually carried out, or carried out properly. You acknowledge and agree that:
- checklist records reflect what was submitted, and may be incomplete, mistaken or inaccurate;
- test runs you complete yourself are marked as tests and are not counted as checklist records;
- the Service is not a substitute for your own supervision, or for meeting your obligations under health and safety, food safety, hygiene, employment or other laws and regulations; and
- reminders, statuses and missed-checklist indicators are provided for convenience and may be delayed, incorrect or unavailable.
Where records are required by law or by a regulator, you remain responsible for keeping them in the form that is required.
9. QR Codes
QR codes you print or share link to the Service. They may stop working, or show that a checklist is paused, if a checklist is archived, its code is replaced, your trial or subscription ends, your account is deleted, or the Service is discontinued. Please keep your QR codes up to date.
10. Intellectual Property
The Service, including its software, design, text, graphics and branding, is owned by Taskhando or its licensors and is protected by copyright, trademark and other intellectual property laws. Apart from the licence in Section 7, these Terms do not grant you any rights in the Service.
"taskhando" and our logos are trademarks of Taskhando. You may display taskhando QR codes and printed checklists in your business, but you may not otherwise use our trademarks without our prior written consent, or remove any proprietary notices from the Service.
If you send us feedback or suggestions, we may use them without any obligation to you.
11. Privacy
Our handling of personal data is described in our Privacy Policy, which explains how we collect, use and protect it. By using the Service, you acknowledge that you have read the Privacy Policy.
12. Disclaimers
The Service is provided on an "as is" and "as available" basis without warranties of any kind, whether express, implied or statutory, including but not limited to implied warranties of merchantability, fitness for a particular purpose and non-infringement.
Without limiting the foregoing, Taskhando does not warrant or represent that:
- the Service will be uninterrupted, timely, secure or error-free;
- checklist records, statuses or reports will be accurate, complete or suited to your circumstances;
- drafts created by Smart Fill or other automated features will be accurate, complete or suitable for your business;
- QR codes will be scannable in every environment or on every device; or
- any defects in the Service will be corrected.
13. Limitation of Liability
To the maximum extent permitted by applicable law, Taskhando and its team, contractors and affiliates shall not be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for any loss of profits, revenue, data, goodwill or opportunity, or any regulatory fines or penalties, arising out of or in connection with your use of or inability to use the Service, whether based on warranty, contract, tort (including negligence) or any other legal theory, even if Taskhando has been advised of the possibility of such damages.
In no event shall Taskhando's total aggregate liability to you for all claims arising out of or in connection with these Terms or the Service exceed the greater of (a) the total amount you paid for the Service in the twelve (12) months immediately preceding the event giving rise to the claim, or (b) fifty US dollars (USD 50.00).
Nothing in these Terms limits liability that cannot be excluded or limited under applicable law, including mandatory consumer-protection rights.
14. Indemnification
You agree to indemnify, defend and hold harmless Taskhando and its team, contractors and affiliates from and against any claims, damages, losses, liabilities, costs and expenses (including reasonable legal fees) arising out of or in connection with:
- your use of the Service, including your staff's use on your behalf;
- Your Content, and your collection and use of your staff's data;
- your breach of these Terms; or
- your violation of any applicable law or the rights of any third party, including your staff.
15. Suspension and Termination
You may stop using the Service and delete your account at any time in the app or as described at taskhando.app/delete-account.
We may, at our discretion, restrict features, suspend or terminate your account, or remove content, where we reasonably believe that you have breached these Terms, where we are required to do so by law, where your use may cause harm to other users, third parties or Taskhando, or where we discontinue the Service. Where we reasonably can, we will tell you before taking action and give you a chance to respond. Where several accounts appear to be operated by the same person or business to get around these Terms, we may take action against all of them.
When your account ends, your right to use the Service ends. Sections of these Terms that by their nature should survive termination will continue to apply, including Sections 8, 10, 12, 13, 14, 16 and 17.
16. Governing Law and Jurisdiction
These Terms are governed by the laws of Singapore, without regard to its conflict of law provisions. Any dispute arising out of or relating to these Terms or the Service is subject to the exclusive jurisdiction of the courts of Singapore.
If the law of your country of residence grants you mandatory rights that cannot be waived by contract, those rights continue to apply to you, and nothing in these Terms is intended to restrict them.
Taskhando may seek injunctive or other equitable relief in any court of competent jurisdiction to protect its intellectual property rights or confidential information.
17. General
These Terms, together with the Privacy Policy, are the entire agreement between you and Taskhando regarding the Service and supersede any prior agreements or understandings about it.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions continue in full force, and the affected provision will be modified to the minimum extent necessary to make it enforceable while preserving its intent.
Our failure to enforce any provision is not a waiver of our right to do so later. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition or sale of assets.
